The Engsoft Visitor Management System (VMS) is a comprehensive, web-based platform that digitises every stage of the visitor experience — from initial appointment booking through to departure and post-visit reporting. It replaces paper-based logbooks and manual sign-in processes, and suits facilities of any size: corporate offices, hospitals, schools, government buildings, and industrial sites.
The Engsoft Visitor Management System supports two visitor flows — pre-booked visitors who receive a personalised booking link and QR code before they arrive, and walk-in visitors whose details are captured at the gate or reception desk — and tracks everyone moving through the organization: customers, clients, supply personnel, interviewees, service providers, and more.

How It Works
The Engsoft Visitor Management System is made up of three connected components:

Appointment Booking & Visitor Invitations
Any registered staff member can create a visit directly from the dashboard, providing the visitor’s name, email and phone number; visit date and preferred arrival time; purpose of visit; host name and department; expected duration; party size; and any areas or rooms requiring access.
Once created, the system automatically sends the visitor a personalised booking link by email and/or SMS. The visitor uses it to confirm their details, upload an ID document if required, sign the facility’s visitor policy or NDA, answer pre-visit questions, choose an arrival time, and add details of anyone accompanying them. On completion, they receive a confirmation email with a unique QR code entry pass.
Booking link security
- Unique to the visitor, and automatically expires after the visit window
- Can be set to single-use, or allow re-access until the visit time
- Any attempt to alter the link renders it invalid
- Hosts or administrators can cancel a link at any time before the visit
The booking page itself is fully branded — the facility’s logo, colours and images, in multiple languages — and works on phones, tablets and computers.
QR Code Entry Passes
A unique QR code is generated automatically as soon as a visitor completes pre-registration, sent by email as both an image and a downloadable pass. The code contains only a secure reference number — no personal details are stored within it — and a backup 6-digit PIN is provided in case the visitor cannot display it.
At the gate, a scanner checks the code against the VMS instantly:

Self-Service Walk-In Kiosk
Walk-in visitors can register themselves at an entrance kiosk without queuing at a desk:
- Enter full name, phone number, and email address
- Select the reason for the visit from a list
- Search for and select the host from the staff list
- Take a photo via the on-screen camera, if required
- Enter or scan ID number or document details
- Read and sign the facility’s visitor policy

Visitor Record Fields
Every visit is logged with:
- Visitor ID, name, gender, and visiting company
- Certificate type and number (passport, national ID, driving licence, company approval note, etc.)
- Status (“Entered” after successful registration), creation time, and exit time
- Department visited, and access group/level
- Host/visited employee, visit reason, and carrying goods
- Visitor quantity (party size escorted by one host)
- Biometric capture (fingerprint or face), where access requires it

The VMS connects directly with:

These integrations let entry registration, exit registration, and access decisions happen automatically as a visitor moves through the site.
Also included: deleting visitor registrations and access status; flagged-visitor alerts; enabling/disabling a visitor; pre-registration and reservations; QR-code self-service reservations; and approval, rejection, deletion, and revoking of reservations.
